How Do Automated Systems Affect the Bottom Line?

How do automated systems affect the bottom line

How do automated systems affect the bottom line? Simple, they reduce the time it takes to complete tasks. To dive in further, they are consistent in doing tasks and will always complete the tasks in the same mannerism and without faults.

How automation systems changes your bottom line

Digital systems are existent everywhere. Whether your business is something traditional like a car mechanic shop or it is something modern like a social media agency you will have some form software that governs some part of your business.

The more software you have involved with your business processes, the more that can be automated. For every click there is a conversation to be had over it’s potential to become automated.

We’ve designed systems for various amounts of industries and they all relate to menial digital tasks that we’ve accelerated to a large degree.

An example would be invoicing. The process of invoicing requires a few data sources to be transferred to the invoice such as:

  • Client Name

  • Company Name

  • Line Item

  • Line Item Cost

  • Date Issued

  • Invoice Due

  • Invoice Number

The list of details included can vary depending on how you invoice or what type of financial software you use. Whether you’re creating these manually or using software such as Xero there will be a varying degree of manual input.

The way we innovate with automation all begins at the first touch point when a customer submits their details. At this point these details will traverse through an automated version of your business process which you would already do manually such as entering their details into a database, creating a draft invoice, approve and send to client.

Instead of opening up Xero to draft an invoice every time, we create triggers typically from project management platforms and a simple click of a button or completion of a task will create a draft invoice for someone to approve. An example would be if a project has been completed and signed off by a manager, an invoice will be automatically generated for approval or even sent off immediately.

How much of my bottom line does this change with automation?

We’ve built several automated invoicing systems for clientele, the best result we’ve seen so far is with an engineering company that had one staff member spend a full day invoicing ten clients. Once we released our first version of our system, the outputs significantly changed to invoicing ten clients in one hour.

If you consider the opportunity that this can impact with other operations in your business then you are now starting to see the power of automations. We’ve built systems to cater for project management, sales, communications, service, quality control; the list of possibilities is almost endless so long as they have a touch point with digital systems.

The savings is within turnaround times of tasks, what is more important is how your business will transform as you take time back with automation technology to focus on more important tasks that drive growth and revenue.

Where do I start if I want to implement automation changes?

If your systems are fairly new and you haven’t committed to any platforms, we would suggest for you to select a group of software that can connect to each other via API.

If you already have systems existing then we recommend going through an investment analysis to see which software platforms you will need to migrate to or even consider starting fresh and implementing data migration. As daunting as this may sound, to operate without automations actually costs more than continuing to resume your current setup. The sooner you make the switch, the faster you reap the benefits.

Old software or software that simply does not allow API features will typically stop you from creating an automated environment, other options in this case would be to heavily invest in a full stack developer who can create a custom solution to make ends meet.

In essence if you are a new business then you’re in luck, if you have systems already running then it’s simply a matter of analysing which software systems do and don’t talk to each other. The ideal scenario is where everything you use can communicate to each other to form a completely automated business.
